01
Who is responsible for your information
McCleave Engraving Co. is an independent engraving business based in Belfast, Northern Ireland. For the personal information described in this policy, McCleave Engraving Co. is normally the data controller.
The current contact route for privacy questions and requests is the general enquiry page. Include ‘Privacy request’ in your message so it can be identified and handled appropriately.
02
Information we collect
Depending on how you interact with us, we may collect:
- Identity and contact details, such as your name, email address, telephone number and delivery address
- Order and payment-related information, including products, quantities, personalisation instructions and transaction records
- Artwork and content supplied for engraving, including names, dates, photographs, logos, crests and recipient lists
- Enquiry, approval and customer-service correspondence
- Technical information generated through the website, such as device, browser, IP address, cookie and usage data
Please avoid sending unnecessary sensitive personal information. Where engraving content relates to another person, only provide information you are entitled to share and that is reasonably needed for the order.
03
How and why we use information
We only use personal information where there is an appropriate purpose and lawful basis.
To provide quotes, process payment, prepare artwork, make and deliver orders, respond to order questions and provide after-sales support.
To maintain appropriate tax, accounting and transaction records, respond to lawful requests and comply with legal duties.
To prevent fraud, secure and improve the store, manage business records, understand service performance and resolve disputes, where those interests are not overridden by your rights.
Where consent is required for optional marketing or non-essential cookies. You can withdraw consent at any time.
04
Who we share information with
We share information only where reasonably necessary to run the store and fulfil an order. Recipients may include:
- Shopify and other website, hosting and technology providers
- Payment providers, which process payment details under their own security arrangements
- Delivery, postal and collection providers
- Professional advisers, regulators, law-enforcement bodies or other parties where disclosure is required or legally justified
We do not sell or rent personal information. Service providers may only receive the information needed for their role, subject to their terms and data-protection responsibilities.
05
How long we keep information
We keep information only for as long as reasonably needed for the purpose it was collected, including completing an order, dealing with questions or claims, maintaining business and tax records, and meeting legal requirements.
Retention periods differ by record. Enquiries that do not become orders may be removed sooner than transaction records. Artwork and personalisation files will be reviewed periodically and deleted or anonymised when they are no longer needed for production, repeat-order support or a legal reason.
Reasonable organisational and technical measures are used to protect information. No online system is completely risk-free, so access is limited to those who need the information and suppliers are chosen with security in mind.
07
Your data-protection rights

- Ask for access to personal information held about you
- Ask for inaccurate or incomplete information to be corrected
- Ask for information to be erased or processing to be restricted where the legal conditions apply
- Object to certain processing, including direct marketing
- Ask for certain information in a portable format or withdraw consent where processing relies on consent
Contact us first so we can try to resolve the matter. You also have the right to complain to the Information Commissioner’s Office if you remain concerned about how your information has been handled.
The store is not directed at children and orders should be placed by someone able to enter a contract. We may update this policy when the store, suppliers or legal requirements change. The latest version and review date will appear on this page.
